Step
1 Download a copy of “REQUIREMENTS
FOR CLASS PROVINCIAL CHAMPIONSHIPS” from the Sailing KZN website
or obtain a hard copy from the Sailing KZN office - and
read them.
Step
2 In accordance with your Class
Constitution, obtain class approval for the proposed date & venue for the
Championship for the forthcoming year.
(An SGM at the
venue of the current championship is often a good idea, as most of your active
sailors should be present).
Step
3 Meet with the proposed host club
(who will become the “Organising Authority” of the event)
and obtain their
approval of your proposed arrangements (including costs).
This is
important as the host club has the responsibility of appointing the Organising
Committee, Race Officer, Jury, Rescue
and all
necessary social activities, though this may already be in place if you are
proposing to run your championship within an existing regatta.
Step
4 Inform Sailing KZN of the dates
and venue, in order that they may add your Championship to the Official
Calendar,
which get
published on various Websites.
Step
5 Draft your Notice of Race (NOR),
preferably by downloading a copy of the NOR template from the Sailing KZN website and
editing it as appropriate,
and submit it by
email to sailsa@hit.co.za for approval.
This MUST be
submitted at least 10 weeks prior to the start of the event.
Step 6 Once Sailing KZN has approved
the NOR, it MUST be posted/e-mailed to every member of the class association.
Sailing KZN will, at this stage, post the NOR on all appropriate
websites.
This MUST be done
at least 8 weeks prior to the start of the event.
Step
7 Draft your Sailing Instructions
(SI’s), preferably by downloading a copy of the SI template from the Sailing KZN website and
editing them as appropriate,
and submit them by
email to sailsa@hit.co.za for approval.
At this stage Sailing KZN will need to
know what your expected entry will be, in order that the appropriate number of
medals can be prepared.
Due to possible uncertainty with entry numbers, the medals may not be
engraved before the event, however all unengraved medals will be engraved by Sailing KZN
if returned to the office after the presentation. (The cost of the
medals will be to the Class association’s account).
This MUST be done
at least 3 weeks prior to the start of the event.
Step 8 Once the SI’s
have been approved, enjoy a wonderful regatta.
Step 9 On completion of
the regatta, a full set of results MUST be submitted to the Sailing KZN office. This
set of results must include the full names
and addresses and yacht club details of the skipper and crew of
all medal winners.
This is important, as this information is essential for those sailors to
accumulate points towards the award of Provincial Colours.
This MUST be done
within 1 week of the completion of the event.
